Privacy policy

This policy explains what personal data PS processes, for what purpose, who it is shared with, and what rights people have over it. It applies to this website, to enquiries received through its forms, and to the services PS provides to its clients.

2. What data we collect

2.1 Data you give us

When you use the contact form on this site we collect: name, company, email address, the type of need you select and the message you write. None of those fields asks for sensitive information, and we ask that you do not include any in the message.

2.2 Browsing data

The server hosting this site records, like any web server, the IP address, the date and time of the request, the page requested and the browser type. That log exists to operate and protect the site.

2.3 Data in the services we administer

When delivering services to a client we may access data held in their systems: mailboxes, website databases, advertising accounts and analytics accounts. In that case the client is the controller of that data and PS acts as processor, following their instructions and only as far as needed to deliver the service.

3. What we use data for

• Answering enquiries received through the form, by email or through WhatsApp.
• Preparing proposals and quotes, and managing the commercial relationship with clients.
• Delivering and supporting contracted services: website, hosting, email, domains, campaigns and software.
• Meeting legal, accounting and tax obligations.
• Maintaining the security and availability of the infrastructure.

We do not use enquiry data for advertising, we do not build mailing lists from it, and we do not sell it.

4. Cookies and measurement

This site does not set advertising cookies or third party tracking cookies. The only cookies it may set are the technical WordPress ones needed for admin login and for remembering the language preference. There is no advertising profiling of visitors to this site.

If an analytics tool is added in the future, this policy will be updated before it is switched on, stating what it collects and how it can be declined.

5. Data in Google Ads campaign management

This section details the processing tied to the campaign management service, because it is the one that raises the most questions.

• PS accesses client Google Ads accounts through Google’s standard account link, which the client explicitly accepts and can revoke at any time.
• The data we query is performance metrics generated by the platform: impressions, clicks, cost, conversions, search terms and performance by keyword, ad and device.
• That data is used exclusively to operate and optimize the client’s account and to build their periodic report.
• One account’s data is never mixed with another’s, never used to work on a third party’s account, and never shared outside PS and the client who owns it.
• The internal tool we use for this work is restricted to the PS staff responsible for each account and logs every change with timestamp and user.
• Remarketing lists are built from how people interact with the client’s website, within Google’s policies and under the client’s responsibility as account owner.
• The advertising account and the data it holds belong to the client. If the relationship ends, PS loses access and keeps no copy of that data.

6. Who we share it with

PS does not sell personal data. It is shared only in these cases:

• Infrastructure providers needed to deliver the service: hosting providers, email platforms, domain registrars and advertising platforms. Each processes data under its own terms and only as needed for the service.
• Authorities, where there is a legal obligation to hand it over.

There are no transfers of data to third parties for commercial or advertising purposes.

7. How long we keep it

• Enquiries received through the form are kept while they are useful to the relationship, and deleted once they are not.
• Client data is kept for the duration of the contract and afterwards for the period required by Costa Rican accounting and tax rules.
• Technical server logs are kept for short periods, defined by the infrastructure provider.

8. Security

We apply reasonable measures to protect information: access restricted to the staff who need it, two step authentication on the platforms that support it, encryption in transit through HTTPS, backups with retention, and regular system updates. No system is infallible, and we do not claim ours is.

9. Your rights

Any person may ask us for:

• Access to the personal data we hold about them.
• Correction of inaccurate or incomplete data.
• Deletion of their data, where no legal obligation requires us to keep it.
• Objection to a particular processing activity.

To exercise any of these rights, write to [email protected] stating what you are requesting. We will reply through the same channel.

Where the data belongs to a client and PS acts as processor, the request is passed to the client controller, who decides on it.

10. Minors

PS services are aimed at businesses. This site is not directed at minors and does not knowingly collect data from minors.

11. Links to other sites

This site links to external platforms (WhatsApp and social networks, among others). Once a person leaves ps.co.cr, the privacy policy of the destination site applies.

12. Changes to this policy

We may update this policy. The version in force is always the one published on this page, with its last updated date at the top. If a change materially affects our clients, we will tell them by email.
